FixMyUnit ("we", "us", "our") is a property management platform that connects landlords, tenants, and contractors. Our contact email for privacy-related questions is info@fixmyunit.nl.
2. What data we collect
We collect and process the following personal data:
- Account data — name, email address, phone number, and role (landlord, tenant, or contractor).
- Authentication data — hashed passwords and refresh tokens. We never store plaintext passwords.
- Property data — property addresses, unit details, lease information (start/end dates, rent amounts).
- Maintenance data — request descriptions, photos, messages between users, and status updates.
- Meter readings — reading values, dates, and supporting photos.
- Profile data — avatar images uploaded by the user.
- Device data — FCM tokens for push notifications (if enabled).
3. Why we collect it
We process personal data for the following purposes:
- To provide and maintain the FixMyUnit service (account creation, authentication, property management).
- To facilitate communication between landlords, tenants, and contractors regarding maintenance requests.
- To send email notifications about lease invitations, maintenance updates, meter reading requests, and other service-related events.
- To enable photo documentation for maintenance requests and meter readings.
4. Legal basis for processing
We process your data based on:
- Contract performance — processing necessary to provide the service you signed up for.
- Legitimate interest — service notifications and communication between parties involved in property management.
- Consent — where applicable, such as optional notification preferences.
5. How we store and protect your data
- Passwords are hashed using bcrypt before storage.
- JWT tokens are used for session management with automatic expiry.
- Uploaded images are validated, resized, and converted to a safe format before storage.
- Database connections use secure credentials and are not exposed publicly.
- All production traffic is served over HTTPS.
6. Data sharing
We do not sell your personal data. Data is shared only between parties in the context of property management:
- Landlords can see tenant names, emails, and submitted maintenance requests for their properties.
- Tenants can see their landlord's name and assigned contractor details.
- Contractors can see maintenance request details for jobs they are assigned to.
We use TransIP for hosting and email services. No other third parties receive your personal data.
7. Data retention
We retain your data for as long as your account is active. If you request account deletion, we will remove your personal data within 30 days, except where legal obligations require longer retention.
8. Your rights
Under applicable privacy laws, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data.
- Object to or restrict processing of your data.
- Data portability — receive your data in a structured, machine-readable format.
- Withdraw consent at any time where processing is based on consent.

9. Cookies
The FixMyUnit website does not use cookies or tracking technologies. The mobile app uses secure local storage (SecureStore) to persist authentication tokens on your device.
